Sort subjects and courses on study plans and similar areas

For the first time ever, staff may define the sorting order of lists of subjects and courses across study plans, applications, transcripts, enrollment plans and documents, either by subject name (A to Z) or by course start date. If the latter is selected, subjects linked to multiple courses will be sorted by the earliest course start date. Meanwhile, listing subjects alphabetically is the default. This is a major improvement over the previous version, where subjects and courses were randomly ordered!

It’s now possible to display fields from the profile Info tab as columns in the Register tab of a course. To do so, click the button COLUMNS on the top-right corner and select the desired profile fields, after which they’ll be promptly added to the list.

When exporting a list of profiles, course journey information is now included in all course-related columns (such as All contexts, Potential, State and Owner, among others), regardless of where you’re exporting from (for instance, the ALL PROFILES overview, a segment or a class page).

Display journey fields on course pages

Journey fields are now available in the column selector of course pages, allowing staff to visualize journey-related data for the profiles of a specific course.

Export profiles from course pages to Excel, PDF or CSV

We introduced a new export function to course pages, accessible by pressing the vertical ellipsis and then Export profiles. If any fields associated with the course journey are included in the export, such as Potential, Owner, Payment plans and more, the columns will be accordingly populated with both the class and course journeys.

Update the state and substate of course journeys in bulk

You can now update the state and substate of course journeys in bulk via course pages. To accomplish this, tap the vertical ellipsis, press Update state and substate and pick the appropriate lifecycle state. Please note that class journeys are not updated.

Upon starting a new application for a given course, neither candidates nor staff members were allowed to change the original selection, but the course can be changed by anyone again.

When deleting a course from the list of courses in General settingsInstitutionCourses, said course wouldn’t be removed from enrollments plans and programme choice fields, giving rise to further disturbances in the system. Course enrollments always have the same fate as deleted courses now.

"Address" field does not save inputted country

There was a problem affecting Address type fields in application forms whereby the subfield Country did not save the applicants’ country selection, thus preventing applications from being submitted. The chosen country is now saved along the rest of the data.

Candidates cannot start new applications

Whenever applicants pressed the button Start Application for certain classes, nothing happened. The same action now starts a new application and takes applicants inside, no matter the class.

Switching programmes causes journeys with assets to be deleted

Whenever an applicant’s programme choice was replaced by a programme connected to a journey with at least one asset – that is, an offer, a payment plan, an enrollment plan and/or a transcript –, the respective journey would automatically be removed; in turn, the orphaned asset left behind would unleash more buggy behavior on the platform, such as the list of courses failing to load. Journeys with assets are no longer deleted by the programme choice automation.

The product performance report was failing to load, but that's not the case anymore.

Restricted event actions

Staff users with access scopes were barred from using the Events module in full – like not having the ability to add new registrants and a few other actions –, despite being authorized to do so. Access to event actions is no longer dependent on whether someone has an access scope or not, only that person’s role's permissions.

Blocked form submissions

Submissions for embedded forms were being blocked by anti-spam filters, returning a Not authorized error, but the submissions successfully go through now.

"State" column does not display classes

The State column in Forms and Events stopped displaying the classes associated with their participants, though it still displayed the lifecycle states for the missing classes. Both the profiles’ classes and respective states are presently displayed.

Landing pages with quotation marks in the title not loading

Landing pages for forms and events had a bug whereby, if the title happened to contain quotation marks (“”), the pages would not load. Quotation marks no longer cause any trouble.

Invalid number error not displayed

Whenever a telephone number beginning with a zero was inserted into a Number type field, only the generic message please review the errors below was triggered; consequently, it was unclear what exactly needed correcting. The current error message specifies that the number is invalid.

The Upcoming events widget on portal pages was flickering white, making it difficult to select an event, but no flickering occurs anymore.

Set and send different email reminders for your events

You can now send distinct reminders for the same event by defining a different email template per reminder, which allows for as much individualised customisation as the needs of the situation dictate! This stands in stark contrast to the past, when only one email template could be used for all of the reminders. You may read more about event reminders here!

It's now possible to select specific events rather than teams in the Events widget of a portal page, letting you define exactly which events should be put on display! Easily identify different types of profiles

It's now easy to discern at first glance whether a profile belongs to a a contact, a lecturer or a staff user through the introduction of the following blocked tags below the profile name: Contact, Lecturer and Staff. Applicant profiles, being the majority and by extension the default, possess no label.

We've improved the original error message displayed to staff when attempting to submit an application on behalf of a candidate, which hitherto only indicated that the application couldn't be submitted and had to be revised, to actually specify which fields need to be reviewed in order to submit the application.

Setting up a workflow inside an application template to automatically create enrolment plans and transcripts upon the application being submitted was failing to work, but the transcripts and enrolments plans are duly created now.

Rule "is not a" not producing expected results

Whenever at least one state and substate were combined with the rule is not a, the segment would ignore the selected substates and fail to filter the profiles. Currently, only the profiles in the selected states and substates are returned.

Dispatched campaigns not delivered nor updated

A bug was hindering the deliverability of our campaigns and keeping the stats from being updated, but all campaigns are successfully sent and updated now.

Profiles weren't showing their withdrawn status in the class overview, but the status is now displayed next to the name of the intake whenever applicable.

When registering students inside the Register tab of a course, the EMAIL column would proceed to display the students' IDs in place of their email addresses, but that's no longer the case.

The list of profiles in certain segments was coming up empty, despite the rules having matches, but the profiles are loaded again.

A few application templates had a problem whereby the programme choice field would not save the candidates' selection, however, they're always saved now.

Application fee status not updated

Application fees stayed marked as unpaid when candidates paid by Flywire, preventing them from submitting their applications. At present, the status is promptly changed upon FULL FABRIC receiving payment confirmation from Flywire.

Downloaded syllabi featuring unpublished files

When students downloaded every resource inside a syllabus, the latter would include files only meant to be available at a later date, such as in a month. The files remain locked until the appropriate date now.

Students can now download their own transcripts to PDF

Henceforth, when creating new transcript templates, staff has the option to make them available for download to students. No is selected by default, but when switched to Yes, students will see a button to Download transcript on the top-right corner. Previously, only staff users could download transcripts, so this will greatly improve their accessibility!

Date formats for different languages now available

It's now possible to specify the language format of date merge fields in letters, transcripts and application exports, which not only translates the months but also observes regional capitalisation and punctuation rules. For instance, 27 maart 2021 in Dutch, 27. Mär 2021 in German, 27 March, 2021 in British English, and so on. You can find a complete list of the available languages and merge fields here.

New merge field for custom transcript course names

The custom transcript course name is now referenced via a different merge field from that of course names, since using the same one led to the former overwriting the latter in transcript templates. Therefore, custom transcript course names are now pulled via the merge field =course.custom_transcript_name, whereas course names are keeping the tag =course.name for themselves.

Hide the † and * symbols from transcript templates

Staff can now decide whether or not to display the and * symbols in a transcript template, achieved in the Details tab of the transcript template. If neither Show reference for final grade (*) nor Show reference for credits (†) is ticked, the symbols won't be visible in printed and downloaded transcripts.

Publish partial grades

We've introduced a new publishing mode for grades allowing you to release partial grades as you go – such as, for instance, the results of an assignment –, without necessarily releasing the finals. You can read everything about the new publishing mode in our Help Centre!

Filtered list of courses displays no results

There was an issue with the academic calendar whereby, when the list of courses in the sidebar was filtered to narrow down the information and you quit the page and later reentered it, the same filters would still be in place, but with zero results. Both the filters and the results are currently preserved.

Error when creating courses

Some staff users were receiving an unauthorised error message when attempting to create a course in the shared calendar, despite having the required permissions to do so. This has been fixed and it's once again possible to create courses directly in the calendar.

Programme choice field in application forms not populated

The programme choice field was not registering the candidates' choice of programme when starting a new application, forcing candidates to manually select their desired intakes a second time; the same also happened with staff. The field is now automatically populated as per usual.

Profiles not exiting lifecycle workflows

Profiles weren't exiting lifecycle workflows when meeting the exit condition, meaning that they'd continue to receive emails no longer relevant. The exit condition profile is withdrawn, transitions to another state, or the journey is deleted is back working again.

Broken links in campaign emails

If a link was included in a campaign, it sometimes happened that, upon dispatching the campaign, the link would break and redirect users to the wrong URL. That's not occurring anymore and recipients are always taken to the intended destination.

Unsubscribe link not displayed

Marketing emails sent from segment workflows were not displaying the unsubscribe link at the bottom, making them not GDPR compliant, but the links are displayed again for any emails marked as marketing communication.

The second half of the All Profiles overview was coming up blank, failing to load both the list search bar and the list of profiles, but the whole page is loaded now.

Introducing the Shared Calendar

Make way for the new academic calendar, the Shared calendar, replacing its predecessor with smarter and better functionality! This new calendar takes a centralised approach to displaying courses and sessions, now combined into a single shared calendar instead of each programme having its own! The new calendar also comes with a bevy of filters and sorting options to help you customise your view and dig into data, as well as a variety of other nifty tricks that you can read about in our Help Centre! We'll support you through the process of transitioning to the new calendar and will contact you shortly for that purpose (if we haven't already)!

Embed forms using scripts

You can now embed a Full Fabric form in an external web page by using a script instead of an iframe, thus allowing you to track user interaction with Google Tag Manager (such as completion time, abandonment rate and other metrics) and customise the design of your form on your own website. Order the content of programme choice fields chronologically

It's now possible to order the classes and courses in programme choice fields by their start date to make them easier to work with. As such, from now on, when applicants select a programme or a subject and then proceed to select a class or a course, respectively, they'll see them ordered from earliest to latest by default. Classes and courses without dates will be ordered alphabetically at the bottom.

Changes to the primary programme choice substitution tag

The subject code is no longer generated as part of the primary programme choice substitution tag, meaning that only the subject name and the course name are displayed to applicants in the application submission confirmation emails they receive.

Lecturer profiles deleted without being removed from sessions first

The system was erroneously authorising the deletion of lecturer profiles still assigned to sessions, which caused their associations to the sessions to stay behind and stir up trouble. Henceforth, this action will be automatically aborted by the system and trigger a forbidden response, commanding staff users to Remove the lecturer as the lecturer/guest lecturer of sessions before being able to delete its profile.

Unable to change sender name of automated workflows

Attempting to edit the SENDER NAME of the Send email to profile automation did not work, as the original name was not overwritten in the email messages. All email messages now include the custom SENDER NAME again.

Upon creating a letter template with merge fields for journey fields and then generating a document, the latter would not be populated. However, as of now, the substitution tags are replaced by information again.

Changes to segment rules producing zero results

Upon making edits to the rules of a list segment, the list would go empty once the Segments Builder menu was exited. The list returns the matching profiles now.

We had a bug affecting applications whereby they couldn't be exported to PDF if any files were attached, but they're fully downloadable again.

Started applications reverting to old status

Some started applications were wrongly given the status Not started application by the system, making them impossible to submit. The application status is always accurate now.

Blank page appears when referees submit their reference form

Whenever a referee submitted a reference for an applicant, the page would go blank. Now, it continues to show the reference form while also showing the success message Reference form submitted.

"Enter" key not working properly

There was an issue with the authentication via application method whereby, if the user in question already had a password and entered it by hitting Enter on the keyboard instead of clicking Continue to application on the portal, the modal would return to the previous page instead of advancing to the next one. This has been fixed and pressing Enter now allows the person to move forward to their application.

Mapping data between application and evaluation forms not working

When trying to map values between applications and evaluations, no fields were available for selection in the mapping map. However, both the application and evaluation fields are now visible again.
