CIVIS is a European University Alliance made up of 11 institutions working together to foster student mobility, civic engagement, and academic collaboration across Europe.
With ambitious plans to expand its Blended Intensive Programmes (BIPs) and offer more opportunities for students to study abroad, CIVIS needed a digital infrastructure that could support large-scale coordination and growth.
But there was a clear obstacle: no centralised system, no visibility, and no unified way to manage applications across institutions.
At first, CIVIS relied entirely on manual processes. Academics collected applications via email, tracked data in Excel, and managed student selection independently. Communication with students was often delayed, and many institutions lacked clarity on which courses were running or how many students were participating.
This led to several critical issues:
Without real-time data, CIVIS couldn’t effectively plan, track or scale its mobility offering.
To solve these challenges, CIVIS reviewed several options – including a Greek-developed platform used by another alliance and Salesforce Education Cloud – before choosing Full Fabric.
The decision was based on key priorities:
Full Fabric’s higher education focus, European base, and clear scope of features made it an ideal fit. Implementation started just before summer – a complex time for any institution – but by mid-September, CIVIS had launched its first major campaign, comprising 50 courses.
Weekly check-ins with Full Fabric’s team helped tailor the platform to CIVIS’ unique needs – from small-unit courses to a dual-selection process – all within the context of a genuine partnership, not just a provider-client relationship.
The results were both immediate and impressive. Since launching Full Fabric, CIVIS has:
The visibility into “started” applications proved especially valuable, helping the team identify low-performing courses early and respond with targeted communications.
The improved process also helped CIVIS meet funding thresholds and support students more proactively – from selection to mobility grant coordination.
As a result, CIVIS has been recognised by the European Commission and invited to share its BIP experience as a model for success.
Looking ahead, CIVIS plans to build on its progress with even greater use of Full Fabric’s capabilities – particularly around reporting, analytics, and joint master’s admissions.
There is also growing interest in enhancing the student experience during the gap between enrolment and course delivery, with communication templates and automations expected to play a key role.
