Boost Event Engagement with Attendance-Driven Automation Workflows

We’re excited to announce two new triggers in Full Fabric's event workflows, which let you send personalised communications based on event attendance. With the new "attendance is marked as Yes" and "attendance is marked as No" conditions, workflows can automatically interact with attendees or follow up with absentees once their attendance is marked by any of the available methods. This allows you to stay connected with attendees, keeping their interest and fostering stronger relationships through the sending of thank-you messages, rewards, feedback surveys, additional learning materials like slides, invitations to join exclusive post-event discussions, and much more.

For those who were unable to make it to the event, you can still give them a chance to benefit from your content and feel encouraged to participate in future opportunities by sending them a summary of the main points and highlights, alternative dates for similar sessions, special incentives for future attendance, and other resources.

Don't miss out on maximising your event engagement—set up automation workflows contingent on attendance!

Calendar Integration in Full Fabric's New Email Editor

We're thrilled to unveil a major enhancement to our ongoing development of Full Fabric's new email editor: the ability to include links allowing recipients to effortlessly add events to their Google, Outlook, Office 365, Yahoo and/or local calendars. This makes it easier for recipients to remember and plan for your institution's upcoming events, increasing the likelihood of attendance. If you're part of our beta testing group for the new email editor, discover how to incorporate these links into your email templates by checking out this informative Help Centre article. If you're not, keep an eye out for the forthcoming wide release!

Build Segment Automation Workflows

Revolutionise your outreach strategy by harnessing the flexibility of our sophisticated segmentation builder to send automatic communications tailored to a myriad of criteria, either singularly or in tandem. Options span nationality, source profile, lifecycle state, associated classes, last login date, application completion rate, and beyond—targeting possibilities are almost endless!

Crafting a segment workflow is straightforward: just head to the shared segments page, open an existing segment or create a new one, adjust the segmentation rules as needed, and then move on to the "Automation" tab (positioned after "Builder"). Here, you'll find all the tools you need to create an automation workflow.

Several actions are available: "Send email to profile," "Send email to staff," "Send SMS message to profile" (requires integration with Bird), "Add tag to profile," and "Wait."

The new "Workflow" filter on the list of shared segments is the icing on the cake. With options for "Has a workflow" and "Does not have a workflow," this filter permits the quick identification and access of segments that are actively engaging with profiles versus those intended for consultation only.

FOUNDATION CRM Lead Management

Secure Edit Mode for Shared Segments and Automation Workflows

To prevent accidental changes to shared segments and automated workflows of any kind, editing is now disabled by default. To make edits, click the new "Edit segment" or "Edit workflow" button. Then, once you’re done, click "Save changes" or "Cancel editing" to confirm or discard your updates. This added security ensures your configurations remain intact unless intentionally modified.

Create Your Own Activity Note Types

Full Fabric now empowers staff users with the freedom to create their own latest activity note types, surpassing the predefined options (note, email, call, voicemail, lunch, and meeting), to more precisely record and track their wide array of activities with applicants and students, such as one-to-one meetings, CV reviews, WhatsApp calls, and so on. To do so, simply navigate to "General settings," go to "Profiles," and then jump to "Latest activity." Next, click the "Add a new activity type" button and follow the onscreen instructions. You can rename and delete custom activity types, but you cannot do the same for the default ones.

Track Your Marketing Success with UTM Code Reporting

Understand how well your institution's marketing and advertising efforts are performing with our new UTM code report. Access it by going to the "All profiles" page, clicking the vertical ellipsis icon, and selecting "Export UTM lifecycle attribution report." The report, which is available for download in CSV and Excel format, enumerates every UTM campaign executed thus far, including the respective name (e.g., "educations.com: Primrose Business School programmes"), source (e.g., "MSc in Global Business Management"), medium (e.g., "Click from educations.com"), total number of unique clicks, and, for clicks that were successfully linked to profiles, the number of unique profiles and their breakdown by lifecycle state. Please note that the number of clicks can be greater than the number of profiles, as not all clicks result in sign-ups.

New Advertising Cookie Type for Enhanced Consent Management

In response to Google's recent update to their consent mode, which introduced a more granular cookie consent type and limited our use of Google Tag Manager, we've created a new cookie type: advertising. When accepted, this cookie type fires the Google Tag Manager container and grants consents for "ad_storage," "ad_user_data," and "ad_personalization." To start requesting consent for advertising cookies, simply enable them and add a description on the cookies policy page. If you are unsure how to do this, don't have the necessary access, or need any help, please reach out to us at support@fullfabric.com.

Manage admission to candidates’ chosen courses for their class curriculum

Building upon the ability to let candidates choose the courses they wish to study in their application forms and as part of Full Fabric's commitment to supporting complex admission processes and the offering of innovative educational products, you can now classify registrations using the new state "conditionally registered" on transcripts in situations where admittance to each course is conditional to make them easier to accept or reject subsequently.
Please read the article Viewing a candidate's course registrations on their transcript to learn more about transcripts, including the conditionally registered state, and the article Filtering courses in transcript templates by criteria such as pass/fail, registered/reject etc. to find out how to produce printed transcripts that contain separate sections for courses in different states.

CORE TRANSCRIPTS

Send transcripts automatically or in bulk

Sending documents with academic information to students is now easier than ever before thanks to two exciting new features: transcript distribution via automated workflows and bulk transcript sending. New features added to the Product Performance Report: deep dive view and booking comparison columns

To continue unlocking greater visibility into registrations for individual courses, we've released two more updates to the Product Performance Report. One is the ability to take a deep dive into any class to discover which courses are on its study plan; and the second is the addition of two new columns to export files for the purpose of comparing course and class bookings: Journeys and Enrolments. The column Journeys tells you how many individual bookings a course has, while the column Enrolments shows how many bookings a course has as part of a class. Restrict the file extensions allowed on a media upload field

When setting up a file upload field intended for media files, you can now choose which video and audio formats to support: MP3, MP4, MOV, MPEG, MPV, and so on. This ensures that any video or audio files uploaded by applicants are compatible with our media player and can be played on Full Fabric, delivering a seamless experience for staff.

ORIGIN Applications

Create subjects and courses in bulk

Full Fabric now lets you easily create and update multiple subjects and courses at once by doing an import. To use this feature, navigate to General settings InstitutionCourses, select the option Import from file on the upper right-hand corner, and then Import template on the lower left-hand corner of the import tool. This will download a CSV file containing pre-populated data from your current subjects and courses, which you can manipulate and fill in as needed. Once the CSV file is ready to be imported, simply drag and drop it into the import tool and follow the usual steps for importing data.

ORIGIN Applications

Display a confirmation box when applicants attempt to submit their applications

It's now possible to launch a custom confirmation box when applicants attempt to submit their applications, such as to give instructions on what to do next or simply the option to confirm or cancel the submission. By requiring candidates to confirm their intention before proceeding, the confirmation modal helps prevent mistakes, lets them know that their action has been received and provides guidance, making for a more reliable and transparent application experience. To enable a confirmation box for an application template, please open the template in question, access the tab Submission, flip the toggle Show confirmation modal and finally add the desired content.

ORIGIN Applications

Define where applicants should be redirected after submitting their applications

After applicants submit their application, they can now be directed to a different application, an external link, or an overview of the application they just submitted, allowing you to create a more tailored and engaging post-application process. To do so, open an application template, go to the tab Submission, choose the appropriate option under Redirect to and follow the onscreen instructions.

CORE TRANSCRIPTS

Receive a notification whenever a transcript fails to be dispatched

For security reasons, whenever a transcript fails to be dispatched, an email notification is now sent to the particular staff user who performed the Send transcripts action from the Transcripts page or the Transcripts tab of a class page. The notification specifies which transcripts failed to be dispatched by including direct links to them and the names of the respective students.

Share list views with your teammates

To facilitate team collaboration, we've introduced the ability to create team list views. A team list view, as the name implies, is a saved set of filters and columns that can be restored by any member of a team (though only modified by the view's creator). This is made possible thanks to the new setting AVAILABILITY, where you must choose between the options Private and Team as appropriate, and then indicate which team(s) the view should be available to if applicable. Receive a notification email before a scheduled campaign is sent and when a campaign fails to send

For security reasons, we've implemented two new system notifications, both directed to campaign creators. One is a reminder that a scheduled campaign is about to go live, sent one hour before the due time. The other is an alert that a campaign failed to be sent and reverted to the state planned, which may occur if no STMP gateway was configured for the domain of the sender email address or if a bug exists.

FOUNDATION CRM Lead management

Compare class and course bookings

The Product Performance report has a new chart type called Breakdown that compares class and course bookings for courses that can either be taken individually or as part of a certificate programme. It shows what percentage of people studied a certain course as part of a certificate programme (in purple), and what percentage of people studied the same course as a one-off (in orange). This chart type is available in both the report's main list and within a class. Just toggle between Target Capacity and Breakdown in the upper right-hand corner to switch to the old or new view, respectively.

CORE Transcripts

Browse and manage your students' transcripts more easily than ever

Full Fabric now provides a comprehensive list of every academic transcript created in the platform thus far, from which you can gain a bird's-eye perspective of your students' transcripts and perform bulk actions for efficiency, as was already the case with the list of payment plans and others like it. To access it, click Academics on the sidebar and then Transcripts. The bulk actions include, but are not limited to, exporting all transcripts in PDF or DOCX format, and sending the transcripts via email to the relevant students (similar to sending a letter; an email with a transcript attached). The bulk action Send transcripts is also available in the Transcripts tab of class pages.

CORE Transcripts

Filter transcripts by state

A new segment rule allows you to segment students according to the state of the courses they're registered in: Course registrationCourse state is (CHOOSE VALUE). For example: Course registrationCourse state is In progress. A similar rule already existed for the purpose of filtering transcripts with a particular pass or fail status for a course, but it's been renamed to Course registrationGrade state is (CHOOSE VALUE). For example: Course registrationGrade state is At risk.

Assign an evaluation to a specific evaluator

To make it easier for evaluators to determine which evaluations are their responsibility, we've added the option (and, in the case of individual evaluations, the requirement) of assigning an evaluation to a specific evaluator when creating new evaluations. This is true whether the evaluation is created manually or in bulk, because both processes include the new dropdown field ASSIGN TO AN EVALUATOR. Individual evaluations can only be edited by the person who was assigned to them, while team evaluations can be edited by anyone.

The current assignee of an evaluation can be seen in the evaluation's Summary and tab name (where it replaces the creator). To change the assignee, click the vertical ellipsis next to Evaluation assignee and then press Change assignee. A more time-efficient alternative is to assign (or reassign) multiple evaluations at once by navigating to a list of evaluations, clicking the vertical ellipsis in the list search bar and then choosing Assign evaluations.

Please note that all individual evaluations created prior to the release of this feature have been assigned to their creator; team evaluations were left unassigned.

Other updates

ORIGIN Applications

Create evaluations in bulk

You may now create evaluations in bulk for speed and convenience. Just access a list of applications, click the vertical ellipsis in the list search bar and select Create evaluations, which will launch the same modal as when creating a single evaluation manually.

ORIGIN Applications

Submit completed evaluations

It is now possible to submit evaluations to mark them as finished, thus helping evaluators discern which evaluations still need their attention. When you click the new Submit button in the upper right-hand corner (visible only to the evaluation's assignee), the system automatically verifies if the field entries are valid and if all of the compulsory fields are filled out. If the submission is successful, it will be reflected in the evaluation's Summary; otherwise, an error message will be returned indicating the cause of the failure. After an evaluation is submitted, the Submit button is promptly replaced by an Unsubmit one (only visible to the assignee as well).
For data security reasons, individual evaluations may only be submitted and unsubmitted by the person to whom they're assigned; team evaluations, however, can be submitted and unsubmitted by anyone.

ORIGIN Applications

Immediately gauge the state of an evaluation

To complement the ability to submit and unsubmit evaluations, we introduced a State property to the Summary pane, which allows you to ascertain at a glance whether an evaluation is started or submitted.

ORIGIN Applications

Filter evaluations by the ones assigned to you

There is a new My Evaluations tab on the overview pages for evaluation templates, which only displays the evaluations that have been assigned to the person visiting it, making it extremely easy for evaluators to identify which specific evaluations fall under their purview. It also makes it more practical for evaluators to get started on them because they're able to access the evaluations directly from the tab, as well as the applicants' profiles and applications.

ORIGIN Applications

Filter evaluations by state

Evaluation template overview pages now have a state widget, identical to the one in application template overview pages. As a result, you can filter any list of evaluations by STARTED or SUBMITTED to see only profiles with ongoing or completed evaluations, respectively. This includes the My Evaluations tab.

ORIGIN Applications

View additional information about the evaluations in a list

In light of the recent developments, two brand new columns, Evaluation state and Assigned to, are now available in evaluation lists, including the My Evaluations tab. They're located in the section Other. Evaluation state discloses whether a certain evaluation has been Started or Submitted, while Assigned to shares the first and last names of the person in charge of it.

ORIGIN Applications

Segment by evaluation assignee

There's a new segment rule related to evaluations: is assigned to. You may use it to discover which evaluations are currently assigned to one or more staff users of your choosing (both single and multi-selection are supported). For example: Profile is assigned to Hugh Richardson & Amelia Evans.

FOUNDATION CRM Campaigns

Limit who someone can send campaigns to

Henceforth, when building an access scope for a staff member or team, you'll be presented with the question Apply access scope everywhere or only to campaigns?, whereby you'll have to pick between Only to campaigns and Apply everywhere (the default setting). As the name suggests, defining that an access scope should apply Only to campaigns merely restricts who someone can send emails to; it's intended for staff members or teams with particular duties or procedures that require them to have access to all profiles but be able to email only a subset of them. To learn more about this functionality, click here.

FOUNDATION CRM Campaigns

Bounce rates shown on the list of dispatched campaigns

A BOUNCES column has been added to the list of dispatched campaigns along with alert color coding: yellow for values greater than 1%, and red for values greater than 3%. High bounce rates jeopardize the deliverability of emails sent through Full Fabric, so these enhancements were implemented to make it even easier to keep an eye out on them and take corrective action if necessary. For further information, kindly read the following article: Deliverability, bounce rates, and spam reports.

FOUNDATION CRM Campaigns

Alert color coding for spam rates

Similarly to the BOUNCES column, the SPAM column on the list of dispatched campaigns is now color-coded for instant interpretation: yellow for values above 0.1%, and red for values above 0.5%. High spam rates endanger Full Fabric's sender reputation and should be actively avoided. Again, please refer to the following article for more information on this matter: Deliverability, bounce rates, and spam reports.

Duplicate classes

To make class creation faster and easier, we added the ability to duplicate classes. To duplicate a class, navigate to the list of classes in General settings and click the new duplicate button next to the name of the class. Many sequential intakes share similar details and processes, so this is sure to save you time and effort.

Other updates

ORIGIN Applications

Limit application fee discounts to specific classes and courses

When creating an application fee discount for an application template with a product choice field, henceforth you'll find a new setting in the Create a new discount window: Applicable products. This is a menu that allows you to view all of the programs and classes connected to the application template and select which ones are eligible for a discount. The discount code will not work on any products not identified in the aforementioned setting.

ORIGIN Applications

Owing to the addition of new two dates fields to the Create a new discount modal, Available from and Expires at, it is now possible to determine two dates between which an application fee discount code is to be valid, as newly created discount codes are valid immediately and never expire by default.

ORIGIN Applications

Restrict the number of times that a candidate can use an application fee discount

Another redemption limit is now available: the Maximum candidate usage. In other words, the maximum number of times that a single applicant can use a certain discount code. If the field is left blank, then the number is infinite.

ORIGIN Applications

Retrieve an application fee discount code via the API

The Get application request is now able to return application fee discount codes as well.

Create payment plan templates for programs with customizable curriculums

Staff can now create payment plans based on the courses selected by applicants when applying to programs with flexible curriculums. To do so, just use the new payment plan template fee types: Percentage of sum of selected course prices and Fee for each selected course – which you can read about here.

ORIGIN Finance

Use the start date of a course as the reference for the due date of a payment plan fee

Differentiate between various types of passing and failing grades

To improve the process of grading courses, we've introduced the ability to add more statuses other than Pass and Fail, such as Marginal fail, Pass with merit, Pass with distinction, and so on. Send us a list of grade statuses if you're interested and we'll implement them for you.

CORE Learning management system

Segment profiles by course registration state

A new segment rule allows staff to easily search for any profiles with transcripts that include courses in a specific state: Course registrationstate is (choose value). For example: Course registrationstate is Fail. This is particularly useful for finding students who need to be notified that they failed a course and must retake it.

CORE Learning management system

Create partial grades based on a formula

When creating a grade, you can now choose between Formula and Value as the type. Formula partial grades allow you to create formulas based on other partials, which are currently calculated as total sum of grade * grade weight. Get in touch with us for more information.

ORIGIN Applications

Preview how your email will look on a mobile device

You can now preview the mobile version of an email template. To do so, just open a shared email template or an unsent campaign message and click the button Preview in browser; then, in the preview window, toggle between Mobile and Desktop to see how the template renders on each type of device. Mobile devices account for an increasing percentage of email opens, making it crucial to test your emails templates in all formats.

FOUNDATION CRM Emails

Sidebar layouts deprecated

Keeping the rapidly growing number of mobile readers in mind, we deprecated sidebar layouts due to them not being responsive on mobile devices. Old email templates designed with a sidebar layout will remain unchanged, but display the error Sidebar layouts have been deprecated since they are not responsive on mobile. Please copy your content and choose another layout. All other pre-made layouts continue to be available.

FOUNDATION CRM Campaigns

Find out how many unique clicks each link in a campaign email has received

In light of the fact that many campaign emails have multiple links, we introduced the ability to track how many people clicked each link in a dispatched campaign, updated in real time. Simply visit the new tab Clicks to see the number and percentage of unique clicks for every link (buttons included).

FOUNDATION CRM Lead management

Change an applicant's class campus in the profile sidebar

It's now possible to change someone's class campus using their profile sidebar. Just click the vertical ellipsis next to the name of the class, choose the option Change campus, select the replacement campus, and, lastly, press Save changes. Since this allows staff to change the campus for a class that the applicant is already associated with, it's no longer necessary to delete and recreate the respective class journey, greatly simplifying the process. This method also works for selecting a campus for the first time.

FOUNDATION CRM Lead management

Archive old email addresses

We released an email address archiving feature to preserve messages sent to and from a replaced email address. Therefore, every time you change someone's primary or secondary email address in the future, the system will automatically add the original email address to a new field called Archived emails that is located in the profile Info tab. So long as no email addresses are deleted from the Archived emails field, their correspondence will be saved in the profile Emails tab. The Archived emails field is a smart email field.

A timestamp was added to the Get form submission API request to enable the chronological ordering of the resulting data by application submission date.

Minor improvements

FOUNDATION CRM Emails

Compared to image-only sections, the image resolution for text sections was noticeably lower. Henceforth, whenever you upload an image to a text section in an email template, the resolution will be the same as that of an image-only section.

FOUNDATION CRM Campaigns

Campaign emails sent without a subject

Campaign emails could be sent without a subject, which, in turn, sabotaged the delivery. We added two warnings to prevent staff from sending or scheduling a campaign without a subject: Please add an email subject before sending your campaign, and Please add an email subject before scheduling your campaign.

Export the Product Performance report

The Product Performance report can now be exported to Excel for easier analysis. The resulting spreadsheet contains a row for each class and course, along with several columns displaying all aspects of capacity and other product data.

ORIGIN Applications

Until now, whenever staff merged an organization into another, the merged organization had to be manually deleted. Henceforth, the merged organization will be automatically deleted as part of the merge process.

FOUNDATION CRM Forms & Events

"Please fill out the form" text removed

The hard-coded text Please fill out the form was previously displayed in form and event landing pages, but we removed it because it looked like the page's title and was unnecessary.

Minor improvements

FOUNDATION CRM Lead management

Experience entries incorrectly sorted

When staff imported experience entries that did not have a start or end date, they were usually placed above manually created experience entries. However, experience entries are now ordered by creation date, which means that entries without dates are always placed below those with dates.

FOUNDATION CRM Lead management

People not informed when an authentication link is expired

When an applicant without a password used an expired authentication link, the user in question was redirected to the initial authentication via application modal without being notified. Currently, an expired token notification is shown on the initial authentication via application modal.

INDUSTRY Organizations

Profiles not assigned to institutions when created via an import

Profiles were not being linked to organizations when imported through the Contacts page, but they are now.

ADVANCED Authentication

"Authentication" tab not being translated

Although the Authentication page is available in all languages supported by Full Fabric, when a language other than English was chosen, the translation failed. We deployed a fix and the page is successfully translated again.

Feature highlight

Use the product choice field in forms and events

You can now add the product choice field (formerly known as the programme choice field) to any type of form in Full Fabric, including brochure requests and event registration forms, to find out what classes and courses users are interested in. This makes adding the submitters' profiles to their chosen classes and courses much easier, faster and more efficient. Click here to learn everything you need to know about this update.

Other updates

ORIGIN Applications

FOUNDATION CRM Events and Forms

"Programme choice" field now called "product choice" field

The field previously known as programme choice has been renamed to product choice to reflect the fact that it may also encompass short courses and longer classes made up of short courses in addition to degree-granting programmes.

FOUNDATION CRM Events and Forms

New email substitution tag

We recently introduced the email substitution tag Event or Form product choices, which can be applied to any email template used in form and event automations, as well as in the Reminders and Message tabs of an event. The new tag is related to the product choice field and is automatically replaced with the classes our courses therein selected.

FOUNDATION CRM Automations

Improvements to the action "Add profile to product"

The automation Add profile to product now offers two options: adding profiles to the products selected in the product choice field (if one exists), or adding profiles to a specific group of classes and courses of your choosing. More information here.

FOUNDATION CRM Lead management

Give each profile in an import its own source category

We've introduced the ability to ascribe a unique source category for each profile in an import by turning it into a mappable value. Simply include a source category column in your CSV value and map it to the field Source category.

FOUNDATION CRM Lead management

Define different consent preferences for each profile in an import

As the title says, we've also converted the numerous details concerning people's consent for the processing of their data and the delivery of marketing material into mappable values, allowing staff to import different preferences for each person in the CSV file. Just make sure that the file in question contains all of the following columns: Data processing consent (yes/no), Data processing consent source, Data processing consent date, Marketing agreement (yes/no/no contact allowed), Marketing channels, Marketing consent source, and Marketing consent date.

FOUNDATION CRM Lead management

Improvements to the list of payment plans

We've deployed a number of enhancements to the list of payment plans. For one thing, you can now customize it by adding or removing columns from the view; any detail pertaining to the payment plan may be displayed, as well as any field from the profile Info tab, just by clicking the button Columns on the upper right-hand corner. In addition, the list of payment plans can now be exported to Excel, letting you analyze the data outside of Full Fabric. More information can be found in this Help Center article.

FOUNDATION CRM Lead management

Access a product page via the Product Performance report

For your convenience, it's now possible to access a class or course page directly from the Product Performance report. Simply click the grey underlined link with the name of the desired class or course.

FOUNDATION CRM Events

Add event info in multiple languages

If your instance supports multiple languages, you can now write in every single one of them when editing the field More info inside the event Details tab. The default language is English, but you can easily switch to another one by clicking its flag on the upper-right corner of the text box.

FOUNDATION CRM Events

Easily respond to event registrants

Henceforth, whenever you receive an event registration notification from Full Fabric in your inbox, you can reply directly to it to start a dialogue with the respective registrant. That's because the Reply-To address of the event registration notification has been changed to the registrant's primary email address, aiming to let you answer any queries or comments included in the registration straight away.

ADVANCED Authentication

Verify your phone number to enable two-factor authentication

We've strengthened security around two-factor authentication (2FA) by sending an SMS with a token to the phone number entered. This token must then be entered in Full Fabric to prove that the phone number belongs to the user attempting to tie it to his or her account. 2FA will only be activated once that happens.

DOCX files uploaded to academic or professional experience entries or to references were not merged to the application form PDF, but they're successfully merged now.

ORIGIN Applications

List of application templates taking too long to load

ORIGIN Applications

Checkbox selections lost

Checkbox field selections were not being saved by the system, but they are now.

ORIGIN Automations

Action "Send letter to profile" not working

The action Send letter to profile was unsuccessful in generating letters for profiles linked to payment plans without fees. The letters are successfully generated now, and if the letter template happens to contain a payment plan merge field, that spot is left blank.

CORE Learning management system

Inaccurate columns on student view of course attendance page

The student view of the Attendance tab of a course previously displayed the columns FIRST NAME and LAST NAME instead of combining them into a single column, NAME, as was already the case on the staff side. In turn, this caused the column headers to be misaligned with the contents of the table. We changed the student side to only have a NAME column header in order to make it uniform with the staff side.

Experience a more powerful email editor

Over the past several months, we've been toiling away behind the scenes to create a better version of our email editor, and we're proudly bringing this chapter to a close with the introduction of yet another two improvements, sure to optimize your click-through rates: the ability to define distinct colors for headers and for buttons and links, and an increase in the padding and size of your buttons for greater emphasis. Overall, our email editor is now more powerful and customizable than ever, making it easy to create modern and professional emails without any technical knowledge. New email substitution tags

There are four new email substitution tags for events: Event location, Event address, Event start date and Event end date, providing a higher degree of flexibility in the creation of shared email templates.

FOUNDATION CRM Events

Trigger event automated workflows by doing an import

As of now, so long as the workflow conditions are met, importing people into an event with automated workflows always triggers the respective automated workflows for the imported participants, regardless of whether they're new registrations or old registrations being updated.

FOUNDATION CRM Events

Map data to an event

When importing into an event, you may now map data directly to the fields of the event registration form. Previously, although you could add participants to an event, you could only map any personal data in the CSV file to the profile Info tab.

FOUNDATION CRM Events

Event registration response workflows only executed before the event end date

Currently, event automation workflows for registration responses are only ever triggered before, not after, the event end date. Consequently, any time you add participants to an event retroactively, the participants in question won't be sent the emails in the registration response workflows.

FOUNDATION CRM Language

New text for the email verification banner

For the sake of clarity, we changed the text that's displayed in the email verification banner from "Please verify email and spam ∙ Click here to resend verification" to "Please check your inbox for a verification email ∙ Click here to resend the verification email", and, after the email has been sent, "Verification email sent ∙ Please check your inbox for a verification email". Likewise, the translations to Danish, Dutch, French, German and Spanish were accordingly redone.

FOUNDATION CRM Lead management

We added new API requests for creating and deleting payment plans for a profile. You may learn about them here. If this is something you're interested in, please get in touch with us.

ORIGIN APPLICATIONS

Set up dependencies for courses in the programme choice field

Field dependencies can now be set up for the courses selected in the programme choice field, just as they already could for classes.

Adjustments to the programme choice field

We removed the options Map to field, Who can edit this field? and Who can see this field? from the programme choice field to eliminate redundancies.

Minor improvements

FOUNDATION CRM LEAD MANAGEMENT

Trouble with importing experience entries

Staff were temporarily unable to import experience entries with start and end dates because they produced an invalid error, but the error has been resolved.

ORIGIN APPLICATIONS

Checkbox field selections in application forms not saved by the system

Some profiles experienced an issue whereby, upon ticking a checkbox field, the selected value(s) failed to be saved by the system. The selection is nowalways saved.

ORIGIN APPLICATIONS

Edit, deleting and reordering application fields not possible

Application templates with a programme choice field containing a large selection of classes were showing a tendency to malfunction by not allowing any fields to be edited, deleted or reordered. Similarly, attempts to add new classes to the programme choice fields were also unsuccessful. All of the bugs affecting the programme choice field have been fixed.

ORIGIN APPLICATIONS

Profile owner not assigned

After starting an application, the automation for assigning an owner to profiles sometimes failed, causing the application to go unnoticed by staff. Profile owners are now always assigned when a product has a default owner.

ORIGIN APPLICATIONS

"Application form link" not redirecting users to application form

There was a problem plaguing instances without the authentication via application method whereby, whenever a new user tried to sign up and start an application through the direct application form link, the latter would redirect the user to the portal homepage rather than to the corresponding application form. The application form link correctly redirects users to the application form again.

ADVANCED AUTHENTICATION

Applicants unable to access Full Fabric

We solved a critical bug that prevented applicants from signing in by displaying the error "There are fields with errors", and applicants should have no problem logging in to Full Fabric now.

April 2022
Feature highlight

Set up automated workflows targeting event attendees

We've introduced a new trigger for event automated workflows: Attendance is Yes. Other updates

FOUNDATION CRM Events

Search for profiles on the list of event registrations

We've added a search field above the list of event registrations to help you easily find a specific profile and update its' attendance and/or event response.

FOUNDATION CRM Events

Save views on the list of event registrations

The ability to save views – more concretely, custom combinations of columns and/or segment rules –, has been extended to the list of event registrations. Please read this article to learn more about saved views.

ORIGIN APPLICATIONS

New location for the program choice selector

The programme choice selector has been moved from the application Details tab to inside the Programme Choice field editor. In the Details tab, you're still asked to define whether or not applicants need to choose a specific program for that particular template; however, if you select Yes, the actual programme selection takes place elsewhere – namely, when you add the Programme Choice field to one of the application tabs, as the settings now include the button Edit products, through which you can link the aforementioned field to the relevant classes and courses.

FOUNDATION CRM Lead management

Distinguish between classes and courses on the Product Performance report

The Product Performance has a new column, Type, which indicates if a product is a Class or a Course. The new column is disabled by default, but if your school offers non-degree training courses and you're interested in it, please get it touch with us.

FOUNDATION CRM Lead management

See the courses associated with a class study plan on the Product Performance report

If you're subscribed to our Core module, whenever a class has a study plan with courses, an arrow will appear next to the capacity chart, whereby, if you click on it, you'll be directed to a page grouping all of the courses in the respective class study plan to let you see all of their separate charts in one place.

FOUNDATION CRM Lead management

Filter the Product Performance report by theme or class/course start date

The Product Performance report has two new filters: Theme and Class/course start date. As the names suggest, the former makes it possible to choose which themes are used to populate the Product Performance report, while the second enables staff to easily view past or upcoming classes by picking one of the following options: Upcoming 6 months, Upcoming 3 months, Upcoming month, This month, This week, Previous month, Previous 3 months or Previous 6 months.

FOUNDATION CRM Emails

Determine the sync period for emails

You may now sync past emails using IMAP beyond the typical seven days – for example, to sync the last six months of emails.

ORIGIN FINANCE

New distance-based due date options for payment plan fees

It's presently possible to configure the due date of a payment plan fee to be tied to the start date of the class or course for which the payment plan was created. More specifically, when you pick DISTANCE as the DUE DAY TYPE and input a number of DAYS, two new reference points are available under FROM: Before class/course start date and After class/course start date.

ORIGIN FINANCE

Disable the payment plan published notification for candidates

If you've set payment plans to be automatically published upon the application submission, you can ask our team to disable the default system email that notifies candidates that their payment plan was published, in favor of including that information in the application submission confirmation email; that way, applicants only receive one email instead of two.

Minor improvements

FOUNDATION CRM CAMPAIGNS

Big campaigns struggling to be fully dispatched

Campaigns with large audience segments were dispatching very slowly and thus timing out, which in turn prevented them from being sent to every profile in the audience segment. We implemented a series of adjustments to improve performance and campaigns are duly sent to everyone in the audience segment now.

FOUNDATION CRM FORMS

Embedded forms loading slowly when using 3G

Embedded forms were taking a long time to load on the external pages where they were embedded for visitors that used a 3G connection, but we fixed this problem and the forms always load within the expected timeframe now.

FOUNDATION CRM FORMS & EVENTS

"Who can edit this field?" setting malfunctioning

The system stopped obeying the Who can edit this field? setting, meaning that users with roles that weren't authorized to edit certain form or event fields could nevertheless do so. Form and event fields can no longer be altered by users whose role isn't selected in the Who can edit this field? setting.

FOUNDATION CRM EVENTS

Event registration fields not pre-filled

Some events failed to be pre-filled with data from the registrant's profile, though the fields in the event registration schema were mapped to fields from the profile Info tab. The mapping is consistently successful now.

FOUNDATION CRM EMAILS

Links and file uploads on dispatched emails not clickable

Once emails were sent, all links and attachments included inside were no longer clickable by staff, but they remain clickable now.

FOUNDATION CRM EMAILS

Images getting broken

Old header and footer images on email templates unexpectedly got broken, displaying a broken image icon instead. We rectified the paths and the images are visible again.

INDUSTRY Organizations

Data processing consent and marketing preferences not requested when adding a contact

The Add a contact modal didn't request that the contact's data processing consent and marketing preferences be recorded, but it does now, making it completely compliant with the GDPR.

CORE LEARNING MANAGEMENT SYSTEM

Students redirected to the old version of the academic calendar

We experienced a temporary issue whereby, whenever students clicked on their profile name and then Calendar, they were led to the years and terms calendar, which consequently returned the error Forbidden – You do not have permissions to access this resource due to that version not being live anymore. Students are correctly redirected to the current version of the academic calendar now.

Feature highlight

Specify which application templates permit proxy registrations

You can now decide which application templates permit proxy registrations, thus reserving the ability to start a registration on behalf of somebody else for templates expressly created and designed for that purpose. By having separate application templates tailored for different audiences and circumstances, you’ll likely find it easier to adequately fulfill multiple sets of needs.

Other updates
ORIGIN APPLICATIONS

New deletion permissions

Staff teams can now be given permission to autonomously delete programs, classes and subjects. Please contact us if you are interested, but bear in mind that authorization from someone in management is required before the aforementioned permission is extended to new teams.

ORIGIN APPLICATIONS

Get campuses via the API

Henceforth, whenever a class is retrieved via the API, you can also retrieve the class's campuses, therefore displaying the campuses available for each product in your other platform. Feel free to reach out to us if you'd like to explore this API option.

ORIGIN APPLICATIONS

Pull proxy-related data via the API

If you wish to contact proxies of applications in other marketing systems outside of Full Fabric or something in that vein, you'll be glad to know that we've made it possible to retrieve the proxy of an application via the API – more concretely, the started by and submitted by fields.

ORIGIN FINANCE

Create discount templates for payment plan templates

We've introduced the ability to create discount templates within payment plan templates in the new Discount templates tab to determine the discounts that are available for a particular payment plan, as well as their details (for instance, discount amount, which fees the discount applies to, and so on). The discounts can be automatically applied by the system, or manually by candidates using discount codes.

ORIGIN FINANCE

Associate payment plan templates to classes

Payment plans can now be linked to specific classes and courses by selecting the relevant classes and/or courses in the payment plan Details tab.

ORIGIN FINANCE

Set up a “Payment plan” tab inside an application template

It's currently possible to add a Payment plan tab to an application template so that applicants may choose an appropriate payment plan for their program and class of choice. The list of available payment plans is based on which payment plans were linked to the program and class in question. The tab also allows staff to provide useful information, such as how to make payments and when to expect invoices (just two mention two examples), as well as to define whether the payment plan should be automatically published upon the application being submitted and whether discount codes are accepted.

ORIGIN FINANCE

Generate letters with payment plan information

You can now incorporate payment plan data into letters by inserting the merge field =payment_plans into the letter template. The aforementioned merge field will be populated with the primary details of the corresponding payment plan(s), namely the list of fees, due dates and amounts.

ORIGIN FINANCE

New email substitution tags

There are two new email substitution tags for the payment plan published notification for candidates system email template: |programme_name_or_subject_name| and |class_name_or_course_name|.

FOUNDATION CRM Language

Improvements to the Dutch translation

We've done some grammatical and vocabulary adjustments to the Dutch translation of Full Fabric to improve accuracy and fluency.

Minor improvements
ORIGIN LETTERS

"Add to class" automation malfunctioning

Profiles were being moved to a lower lifecycle state if they submitted a brochure with an Add to class automation, although it's only supposed to update the lifecycle state of profiles that are already in the selected class so long as their current lifecycle state is lower than the one selected in the automation, not higher. When submitting a form with an Add to class automation for a certain class, if a profile already has a more advanced lifecycle state for that class, they now remain in that state.

ORIGIN LETTERS

Generating letters fails

There was a conflict between profiles and letters whereby, if a profile happened to have a photo, generating a letter for it would fail, despite the fact that these factors shouldn't be related, but it's possible to generate letters for profiles with photos again.

ORIGIN APPLICATIONS

Campus choice not restricted to the campus of someone's journey

Applicants were allowed to change their campus choice on applications where the program choice was configured to be contingent on the journey in a given lifecycle state; however, only the pertinent campus is displayed in the selector now.

CORE Student Information System

Individual assignments not saved

When creating a new assignment for a course, the assignments weren't saved, resulting in the material being lost altogether, but they're successfully saved now.

February 2022
Feature highlight

Archive classes and courses

It's now possible to archive older classes and courses in order to hide them from areas where they're no longer needed, namely application templates, lifecycle workflows and the Product Performance Report, allowing you to have a clean workspace where only relevant information is displayed. As a result, you're also able to define if active or archived products should be up for selection when building a segment with the Profileis in rule, keeping your view completely uncluttered.

The Archive class and Archive course buttons are available when editing a class or a course, respectively – which is also how you can find an Unarchive class or Unarchive course option in case you want to undo the operation. Archived products show the state Archived in lists of classes and courses.

ADVANCED AUTHENTICATION

Two-factor authentication now remember browsers and devices

To balance security with convenience for users who have two-factor authentication (2FA) on, submitting two different authentication factors is no longer required every time someone logs in, as browsers and devices are now remembered for 30 days. If, however, you log in from a different browser or device, the code will be asked again. For those who don't know, 2FA is a two-step process that requires two proofs of identity – one's password and a verification code sent by SMS –, to sign in to Full Fabric. More information on 2FA, including how to activate it for your account, can be found here.

Minor improvements
ORIGIN APPLICATIONS

Lifecycle states not automatically updated to applicant::submitted

For a period of time, the automation to move an applicant from the lifecycle state applicant::started_application to applicant::submitted upon an application being submitted acted erratically, failing to update a large number of profiles. Submitting an application invariably leads to the state applicant::submitted now.

ORIGIN APPLICATIONS

Candidates not added to their chosen programs

Candidates were sometimes associated with programs not selected in their applications, but currently the programs they're added to always reflect the selection in their applications' program choice fields.

ORIGIN APPLICATIONS

Kira notifications not reaching Full Fabric

Kira webhooks notifications were not updating the assessment status in Full Fabric, but we've fixed the integration.

FOUNDATION CRM Applications portal

Campus selection not being saved

When setting up a new class and defining a campus, the campus selection would not be saved by the system. The changes to class campuses are duly saved now.

FOUNDATION CRM Emails

Difficulties with activating IMAP

We experienced difficulties enabling IMAP for clients that didn't yet have it because the system was suddenly unable to save login credentials. This doesn't occur anymore.

FOUNDATION CRM Lead management

Deleting shared email templates not permitted

Shared email templates linked to deleted events, forms and/or automations were protected from deletion, but they no longer remain connected to removed items, which in turn frees them up for deletion.

FOUNDATION CRM Lead management

"Latest activity" tab not loading

When visiting a profile and opening the Latest activity tab, filtering the data by View All did not return all profile activities. The View All filter is working properly again.

CORE LEARNING MANAGEMENT SYSTEM

"Subjects" tab not loading

The Subjects tab in General settings failed to load if a staff user happened to have an access scope with an is in rule involving subjects and courses, but it successfully loads now.

Functions to create and delete sessions stuck on loading

When attempting to create a new session or to delete an old one, the page would go into an infinite loading state, thereby not completing the action. We've corrected the issue that was causing the exorbitant loading times, and consequently, sessions can be created and deleted again.

INDUSTRY Organizations

Searching organizations by name retrieving mismatched organizations

Searching for organizations by name was yielding incongruous results, but they're consistently accurate now.

Boost your school's business performance through the power of analytics

For the past several months, we've been working on four fantastic reports to help you analyze the performance of your business development strategy from different angles, and, as a result, reach your targets. Not only do they collect critical data, but they also convert it into a slew of visually appealing charts that are easy to understand and act on, tracking the evolution of your leads down the conversion funnel, the conversion rate between different stages of the funnel, the progress of your total and submitted applications over time, and the fulfillment of your recruitment goals and targets – all in real-time! For more information, please read this Help Center article.

Other updates

FOUNDATION CRM Lead Management

New reports accessible through class pages

Two new tabs were introduced to class pages: Conversion, which leads to the Product Conversion Report, and Overview, which leads to the Product Overview Report. When accessed via a class page, the reports in question are pre-filtered with information from the respective class, unlike when they're accessed via the Analytics option in the sidebar.

FOUNDATION CRM Emails

Email activity displayed in the "Latest activity" feed

Email-related activity is now displayed in the profile Latest activity tab, giving staff greater visibility into the emails sent to candidates and candidates' interactions with them. This includes one-to-one emails, campaigns, some system emails (namely the application submission confirmation, the double opt-in confirmation, the event registration confirmation and event reminders), and automated workflow emails set up through the actions Send email to profile and Send letter to profile.

ADVANCED SECURITY

FOUNDATION CRM Events

Capture data and marketing consent when adding a participant to an event

When adding a participant to an event, staff can now mark their data processing consent and marketing policy agreement, as the fields Data processing consent, Marketing policy, Source of consent and Date of consent have been added and made required.

FOUNDATION CRM Lead management

Interface improvements

We've been fine-tuning the new interface that's been gradually implemented throughout Full Fabric. Consequently, it's now possible to view long names in multi-select and single-select filters (the text is split across two or more lines); all of the pages have browser tab titles (for example, Subjects :: Name of School, Segments :: Name of School, and so on); and last, but not least, when visiting General settings, navigating to Institution and then clicking Subjects, the latter will henceforth open on the same browser tab instead of opening a new one.

Minor improvements

FOUNDATION CRM Emails

Images with no click-through URL redirect users to Full Fabric

When adding an image to an email without a click-through URL and then sending the message, the image would redirect users to Full Fabric upon being clicked on. Images without click-through URLs no longer redirect anywhere.

FOUNDATION CRM Emails

Text alignment locked

The function Align Justify in the email editor had a bug whereby, once selected, it didn't allow users to select another type of alignment. This isn't the case anymore.

FOUNDATION CRM Emails

Cycling through layouts using the left arrow omitted one option

When designing an email message and clicking the left arrow on a section to cycle through layout variations, the left-aligned image with text to its right didn't appear – only when cycling from the right. Both arrows present every possible layout now.

FOUNDATION CRM Emails

Page jumps when clicking on certain toolbar options

The page jumped back to the top if, while editing an email template based on the traditional email layout, someone pressed the Link or Align buttons. The page remains in the same position now.

ORIGIN APPLICATIONS

Application fields not mappable to evaluation fields

Whenever mapping an application template to an evaluation template and linking an application field to an evaluation field, the respective selection would be deselected, with no additional mapping line being added. The selection is duly preserved now, instantly prompting a new line so that other fields may be mapped.

FOUNDATION CRM Events and Forms

Foreign characters incorrectly displayed

Schema fields containing foreign characters were being garbled on forms (including integrated forms) and event landing pages. They're correctly displayed now.

ORIGIN APPLICATIONS

Application widget selection on portal editor not being saved

Changes to the selection in the Applications widget were not being saved, and only existing selections appeared on the Student Hub, but it's possible to successfully change the selection of application templates now.

ORIGIN APPLICATIONS

Payment plans rejecting discounts

Whenever trying to add a discount to the fees of an existing payment plan, this action produced the error Fee can't be blank. This error no longer occurs unless a fee doesn't exist.

ADVANCED AUTHENTICATION

Authentication link not working

Some applicants were suddenly unable to access their accounts via the authentication link because, whenever they clicked on it, the system would repeatedly ask for their email addresses instead of immediately authenticating them and taking them inside the application form. Everyone's authenticated now.

ADVANCED AUTHENTICATION

LinkedIn Login redirects users to Full Fabric's login page

Applicants trying to login with their LinkedIn credentials were being redirected to Full Fabric's login page upon signing in, but they're able to enter the platform now.

Stay on top of your students' tuition fees like never before

If you use Full Fabric to manage your students' payment plans, you'll be glad to know of a recent addition to the platform: a global list of every existing payment plan, where you can quickly view and manage such important details as whether it's currently published or unpublished, if payments are on schedule or behind, how much has been paid and how much is still owed, among many others. To easily sift through data, you can filter it by program, publish status and fee status, just as you can also search it by profile name, primary email address and payment plan name.

Previously, the only way to find out if someone had a payment plan and to have access to it was by visiting the respective profile, so tracking and management have become incomparably easier! To access the new overview, simply click Finance on the sidebar and then Payment plans. More information on payment plans can be found in our Help Center.

Other updates
ORIGIN Finance

Create a payment plan for a course

It's now possible to create a payment plan for a profile's course journey – in other words, to associate it with a subject and a course instead of with a program and a class, both manually and through automated workflows. If you'd like to know more, get in touch with us.

FOUNDATION CRM Lead Management

Improvements to the search function

We've improved the search function to provide better and more effective results. For one, exact matches are now prioritized over partial matches more efficaciously, as well as first name, last name and email address; therefore, if you search by first and last name together or just by email address, the corresponding profile will always be displayed at the top of the list. Secondly, results are now sorted by relevance to the search term instead of in alphabetical order to help you quickly find the most pertinent information. Everything else remains the same.

FOUNDATION CRM Automations, Events and Forms

Set up automated workflows to be triggered by a group of specific answers

You can now set up automated workflows to be triggered by a selection of the possible answers to a dropdown or checkbox question, as submitted in a form or event registration. To do so, just access the Automation tab, click Add another condition, choose a dropdown or checkbox field and select the relevant values. Accordingly, the workflow will then be triggered for all of the submissions that match any of the selected values. It was previously necessary to set up a separate workflow for every value, so being able to select multiple values at once is a huge time saver.

FOUNDATION CRM Automations, Events and Forms

Apply the OR logic to the conditions of an automated workflow

We've introduced the OR logic to forms and events, thus enabling you to contain more conditions to the same workflow. Simply access the Automation tab, add two or more conditions and then tap AND to switch it to OR.

FOUNDATION CRM Automations, Events and Forms

Automatically update profile states

From now on, for automations involving a profile state transition through the Add profile to class action, if the profile's already in that class but in a lower lifecycle state, their lifecycle state will still be updated, such as to mark leads as qualified. Just add the Add profile to class action as usual and the system will do the rest for you.

FOUNDATION CRM Automations and Events

Set up event registration notification emails for staff

We've introduced the ability to automatically notify staff whenever a new event registration is received. The notification email includes a link to the registrant's profile, a link to all of the registrations for the event and a reproduction of the submitted data. To set it up, open an event, navigate to the Automation tab, choose the action Send event registration notification to and pick a staff user.

FOUNDATION CRM Events

More information displayed on the list of events

For the sake of convenience, the event Location is now always displayed on the list of events below the event name. You may also add a column for Notes, so if that's something you'd like, let us know and we'll enable it for you.

FOUNDATION CRM Events

Export a list of your school's events to Excel

You can now download a list of your school's Upcoming, In progress and Ended events by visiting the corresponding homonymous tab and clicking Export events to Excel. The resulting file includes the name, author, publish status, start date, end date, time zone, location, address, private notes, number of views, total number of responses, number of specific responses and number attendees of the event.

FOUNDATION CRM Events

Retrieve and manage event data via the API

Four new actions can now be performed via the API: retrieving an event, retrieving the registrations for an event, creating an event registration and updating an event registration. If you're interested in these, please contact us.

FOUNDATION CRM Lead Management

See an organization's contacts' latest activity

If you have the Industry module, henceforth, whenever you open the Latest activity tab of an organization, not only will you be able to see its most recent activity, but also that of its contacts. To accomplish this, simply select the filter Organizations & contacts; alternatively, if you only wish to see the contacts' activity, use the filter All contacts.

FOUNDATION CRM Lead Management

Sign-up forms validated straight away

Until now, errors for the name, email address and password of a new registrant were only displayed after the privacy policy was accepted, because profile creations are only validated when the privacy policy is included and the privacy policy used to appear on a separate page. To avoid the delay, the privacy policy is now displayed on the sign-up page, underneath the field Password.

FOUNDATION CRM Lead Management

Empty rows removed from imports

The system is now able to automatically remove empty rows from spreadsheets before they are imported, thereby permitting staff to import data without having to pay such close attention to unintentional formatting.

CORE LEARNING MANAGEMENT SYSTEM

Associate subjects with a theme

In order to allow staff to enter more product information in Full Fabric, it's now possible to define themes for subjects and subsequently assign a Theme to a subject when creating or editing one. Typically, a theme will be the overarching academic discipline that encompasses a given subject and any others that are thematically related. For example, subjects such as European History, African History and American History could have History as their respective theme. The field Theme is not enabled by default, so please get in touch with us if you want it.

CORE LEARNING MANAGEMENT SYSTEM

Associate a course with an external ID

If you integrate Full Fabric with another service, you're now able to add an External ID when creating or editing a course. The new field is not enabled by default, so please get in touch with us if you're interested in it.

Minor improvements
ORIGIN APPLICATIONS

Application fields set as self-dependent

Whenever staff edited a field in an application template and set a visibility or requirement dependency, the field being edited showed up in the list and was therefore available for selection. If mistakenly selected, it consequently produced an error message for applicants attempting to start a new application. It's no longer possible to configure a field to be dependent on itself.

ORIGIN APPLICATIONS

Mapping from profiles to applications not working

Whenever the mapping of an application field to a profile field was set as Do NOT overwrite existing value and the names were not a perfect match (for example, "__middle_name_s" versus "middle_name"), the mapping was unsuccessful. This is no longer the case.

FOUNDATION CRM Campaigns

Campaign stats not showing

Due to the campaign email headers being incorrectly set up, for a time we weren't able to pull and display the stats of any dispatched campaigns. This has been fixed and the stats were all recovered.

FOUNDATION CRM Emails

Emails sent on behalf of someone else revert to the original creator

Sometimes, when composing an email in the profile Emails tab and changing the sender to another staff account, the sender was changed back to the real author once the message was dispatched. The sender is not altered by the system anymore.

FOUNDATION CRM Emails

Staff notifications with substitution codes not generating tag data

Automatic email notifications to staff, such as form and application submission notifications, suddenly stopped replacing substitution codes with user data, displaying the tags instead. For instance: "You have a new form submission for {{form_name}} to review." The substitution tags are working properly again.

FOUNDATION CRM Emails

Email substitution tags button unavailable

The button to add a substitution tag to an email unexpectedly went missing from most email editors, such as the editor on the event Message tab, but the icon is currently visible and functional everywhere.

FOUNDATION CRM Lead management

Previously entered values disappearing from segment rules

Every now and then, segment rules with number fields (for example, Completion is greater than10) failed to load the entered numbers upon revisiting a segment. More concretely, although the rules still worked as expected, the numbers themselves were not necessarily visible. The numbers are always loaded now.

CORE LETTERS

Enrollment plan course merge code pulling additional courses

When creating an offer or generating a letter containing merge fields for enrollment plan courses, the ensuing letter was sometimes populated with more courses than those in the enrollment plan. Presently, only the courses in the enrollment plan are generated.

ADVANCED AUTHENTICATION

Authentication via application failing for new profiles

When starting an application via the authentication via application method and using a new profile, a blank page was returned after inserting the name and accepting the privacy policy, but applicants are duly taken to the application form now.

New look and feel for the lists of shared segments and shared email templates

After the list of courses and subjects, it's time for the lists of shared segments and shared email templates to get a new version! The revised layout now features pagination to speed up loading and a search bar to search for segments by name and for email templates by name and subject. We've also updated the filters Created by to break down staff users by team and thus make them easier to find.

This initiative is part of an ongoing concerted effort to move our existing interface to a new technology that is more agile, device-friendly and modern-looking, so stay tuned for further announcements!

FOUNDATION CRM EMAILS

Track if a system email was sent

Staff now has the ability to directly confirm whether a default system email for an application, a reference request or an event has been dispatched by checking the profile Emails tab of the recipient, where it should be displayed. The aforementioned emails are likewise reflected in the profile Latest activity tab. Formerly, only verification emails were displayed. This development is retroactive, meaning that system emails sent prior to it are also viewable. We expect to make more types of system emails visible in the near future.

FOUNDATION CRM LEAD MANAGEMENT

Add profiles to a course campus

If the campuses feature is enabled for your school, henceforth you'll be able to select a course campus when adding a profile to a class, as the Add to class function will list every class along with all of the viable course and campus combinations (for instance, "MBA February 2022", "MBA February 2022 - London", "MBA February 2022 - Paris", and so on). In turn, the selected campus will be indicated next to the class in any list of profiles where the column STATE is presented.

FOUNDATION CRM LEAD MANAGEMENT

Import profiles to a particular campus

It's now possible to import profiles to a particular campus. To do so, simply include a column with the appropriate campuses in the CSV file that you intend to upload and then map the column in question to the option Campus, under CONTEXT. To learn more about importing data into Full Fabric, please visit our Help Center.

Minor improvements

FOUNDATION CRM EMAILS

Email formatting lost

When replying to a one-to-one email, the formatting of the original message was lost. The formatting of the previous email is no longer lost when replied to.

FOUNDATION CRM AUTOMATIONS

Programme choice automations not working

The programme choice automation to associate an applicant with a class and accordingly add a journey to the respective profile didn't always work, but it now complies with every change to the programme choice field.

FOUNDATION CRM CAMPAIGNS

Profiles not marked as unsubscribed

We had an issue whereby users weren't marked as unsubscribed upon selecting I do not want to be contacted with this type of information as their marketing policy whilst submitting a form or registering for an event. Consequently, they still received marketing communications. Users that choose the above-named setting are duly marked as unsubscribed now.

FOUNDATION CRM EMAILS & CAMPAIGNS

"View email in your browser" link not available

The View it in your browser link was missing from most individual and campaign emails, and in those where it was available, it usually led readers to an error page. The link now appears in all non-plain text emails again, correctly reproducing the content of the message.

FOUNDATION CRM EVENTS

ORIGIN APPLICATIONS

Substitution tag "|first_name|" disappears from email templates

A bug caused the substitution tag |first_name| to be suddenly replaced with the name of the most recent recipient in all active email templates related to events and applications. As a result, since the templates now contained a fixed name instead of the substitution tag, new recipients were referred to by the same name. Rest assured, a fix has been deployed and the tag |first_name| was also restored to all of the email templates that we were able to identify as having been affected.

FOUNDATION CRM EVENTS

Event reminders failing to be sent

Event reminders weren't being sent out to registrants as scheduled, but they are now.

ORIGIN APPLICATIONS

"Previous" and "Next" buttons showing on the first and last tabs of application forms

The Previous and Next buttons were respectively displayed on the first and last tabs of application forms, despite there being no pages to return or proceed to. Both buttons are only rendered where pertinent now.

FOUNDATION CRM LEAD MANAGEMENT

Profiles not removable from classes

Staff wasn't able to dissociate classes from profiles because pressing the X button produced no response. Clicking on the X prompts the class disassociation modal now.

FOUNDATION CRM FORMS

Externally embedded forms not loading

Some externally embedded forms were loading intermittently and site visitors could only see the input fields sometimes, but the loading is now stable and consistent.

FOUNDATION CRM LEAD MANAGEMENT

Unable to add a profile to a course when no campus is enabled

Staff wasn't able to add profiles to courses not linked to a campus, but that's not a problem anymore.

ORIGIN APPLICATIONS

API returning the wrong applications

When filtering profiles by a certain lifecycle state (for instance, <b>applicant::enrolled</b>) while using the "Get list of applications" API request to only transmit the data of the matching profiles externally, some applications from profiles with different lifecycle states bypassed the rules and were also sent. Filtering the "Get list of applications" request by context state only returns applications that have an associated context with that state now.

Display more attendance and grade details on student transcripts

More information is now displayed on academic transcripts to better track student progress, namely the attendance percentage of each course and the overall attendance, available on both the staff and the student view. In addition, staff can now decide whether or not to display the transcript grade average, the transcript grade percentage and the degree class on the student view of transcripts, for which you can get in touch with us.

All of this and more can be read in our Help Center article about Transcripts, so please check it out.

Other updates
ORIGIN APPLICATIONS

New report to track successful monthly bookings

We introduced a new report to the ALL PROFILES page: Export adjusted global monthly performance. It's an alternate version of the global monthly performance export. In the new report, instead of unsuccessful bookings counting towards the month that they were cancelled (in other words, when a submitted registration was withdrawn), they count towards the month when the registration was initially submitted. In turn, this avoids negative net numbers on months with cancellations and paints a more accurate picture of their performance.

ORIGIN APPLICATIONS

Define the campuses available for each course

It's now possible to associate a specific course with one or more campuses. To do so, simply access the Courses list in General settings and open a course, where you'll find a new Campuses field inside the Basic section (provided that the campuses feature is enabled).

FOUNDATION CRM l LEAD MANAGEMENT

Easily import large amounts of profile data

We've upgraded our import functionality to make it capable of importing large amounts of profile information in one single file. Files can now have over 2000 rows and be imported in one go.

Minor improvements

FOUNDATION CRM l EMAILS

Active email templates could be deleted

Shared email templates that were being used on automations could be deleted from the Shared email templates area, but the operation is now blocked unless the template is not linked to any automation.

ADVANCED AUTHENTICATION

"Institutional login" button not responsive

Clicking the Institutional login button on the login page was producing no reaction, but users are now redirected to the Single Sign-on page.

FOUNDATION CRM EMAILS

Formatting lost when replying to emails

Replying to a message originally based off of an email template caused the formatting of the initial email to be lost after the reply was dispatched. The formatting is always preserved now.

Connect to Full Fabric through several authentication options

We're very happy to announce that, henceforth, you can set up a variety of login methods to be available concurrently, from the traditional email and password method to institutional and social single sign-on solutions. By giving your applicants the flexibility of choosing how to log in to Full Fabric, such as by using the same credentials as they already use for your school's official website or, alternatively, LinkedIn, you streamline the authentication process and increase adoption rates. So why stick to one method when you can enable all of them? Read this article for more information and drop us a line if this sounds appealing!

Search through lists of subjects and courses and more

We've introduced a slew of improvements to the lists of subjects and courses in General settingsInstitution. Not only do they have a new, cleaner look with improved navigation, but they also boast much faster loading speeds thanks to pagination, and each list comes with a search function to filter the content based on what you enter. More lists will be similarly revamped soon.

ORIGIN APPLICATIONS

Add a sequential ID field to the journey schema

It's now possible to create a unique sequential ID for each profile journey to be used as a reference on official documents and other records. Previously, only a sequential ID for profiles could be generated, which was insufficient for profiles with multiple journeys. The sequential ID allows for the use of a predefined prefix and between 6 to 10 randomized characters (excluding the prefix). This is an Admin-only feature, so get in touch with us if you're interested.

FOUNDATION CRM EMAILS

Total size of email attachments limited to 10 MBs

In order to improve performance, the total size of the attachments in a single email message should be no larger than 10 MB; and if an attempt is made to exceed the maximum size limit, the following alert will be triggered: The total size of the email cannot exceed 10 MB. Please upload the file as a link instead.

Minor improvements

FOUNDATION CRM EVENTS

Defining a date on a "Date" type field fails

Attempting to manually type a value into any Date type field inside any event landing page caused the calendar to malfunction and reject the value, despite the format being correct. The date is accepted as usual now.

ORIGIN APPLICATIONS

Application template schemas not deleted along with their tabs

Whenever one of the tabs of an application template was deleted, the respective schema survived in the system, leading to unstable behavior. All of the data associated with the tab is presently deleted.

ORIGIN APPLICATIONS

"Programme and class choice" column coming up empty

None of the data from the Programme and class choice column was crossing over when exporting evaluations to Excel or CSV, but the column is always populated in the export files now.

ORIGIN APPLICATIONS

Course sorting fails

Sorting courses on the Subjects tab of applications did not work whenever a candidate only selected a subject and not a course, redirecting the profile to an error page instead, but that's no longer the case.

Sort subjects and courses on study plans and similar areas

For the first time ever, staff may define the sorting order of lists of subjects and courses across study plans, applications, transcripts, enrollment plans and documents, either by subject name (A to Z) or by course start date. If the latter is selected, subjects linked to multiple courses will be sorted by the earliest course start date. Meanwhile, listing subjects alphabetically is the default. This is a major improvement over the previous version, where subjects and courses were randomly ordered!

Since this is an Admin-only feature, get in touch with us to define your preferred sorting order!

It’s now possible to display fields from the profile Info tab as columns in the Register tab of a course. To do so, click the button COLUMNS on the top-right corner and select the desired profile fields, after which they’ll be promptly added to the list.

FOUNDATION CRM Lead Management

See course journey information in profile exports

When exporting a list of profiles, course journey information is now included in all course-related columns (such as All contexts, Potential, State and Owner, among others), regardless of where you’re exporting from (for instance, the ALL PROFILES overview, a segment or a class page).

FOUNDATION CRM Lead Management

Display journey fields on course pages

Journey fields are now available in the column selector of course pages, allowing staff to visualize journey-related data for the profiles of a specific course.

FOUNDATION CRM Lead Management

Export profiles from course pages to Excel, PDF or CSV

We introduced a new export function to course pages, accessible by pressing the vertical ellipsis and then Export profiles. Minor improvements
ORIGIN  Applications

Cannot change course on programme choice field

Upon starting a new application for a given course, neither candidates nor staff members were allowed to change the original selection, but the course can be changed by anyone again.

ORIGIN  Applications

Deleted courses not removed from enrollment plans and programme choice fields

When deleting a course from the list of courses in General settingsInstitutionCourses, said course wouldn’t be removed from enrollments plans and programme choice fields, giving rise to further disturbances in the system. Course enrollments always have the same fate as deleted courses now.

ORIGIN  Applications

"Address" field does not save inputted country

There was a problem affecting Address type fields in application forms whereby the subfield Country did not save the applicants’ country selection, thus preventing applications from being submitted. The chosen country is now saved along the rest of the data.

Candidates cannot start new applications

Whenever applicants pressed the button Start Application for certain classes, nothing happened. The same action now starts a new application and takes applicants inside, no matter the class.

Switching programmes causes journeys with assets to be deleted

Whenever an applicant’s programme choice was replaced by a programme connected to a journey with at least one asset – that is, an offer, a payment plan, an enrollment plan and/or a transcript –, the respective journey would automatically be removed; in turn, the orphaned asset left behind would unleash more buggy behavior on the platform, such as the list of courses failing to load. Journeys with assets are no longer deleted by the programme choice automation.

FOUNDATION CRM  Lead management

Product performance page fails to load

The product performance report was failing to load, but that's not the case anymore.

FOUNDATION CRM  Events

Restricted event actions

Staff users with access scopes were barred from using the Events module in full – like not having the ability to add new registrants and a few other actions –, despite being authorized to do so. Access to event actions is no longer dependent on whether someone has an access scope or not, only that person’s role's permissions.

ORIGIN APPLICATIONS

Different submission error messages displayed to staff

Date formats for different languages now available

It's now possible to specify the language format of date merge fields in letters, transcripts and application exports, which not only translates the months but also observes regional capitalisation and punctuation rules. For instance, 27 maart 2021 in Dutch, 27. Mär 2021 in German, 27 March, 2021 in British English, and so on. You can find a complete list of the available languages and merge fields here.

CORE Transcripts

New merge field for custom transcript course names

The custom transcript course name is now referenced via a different merge field from that of course names, since using the same one led to the former overwriting the latter in transcript templates. Therefore, custom transcript course names are now pulled via the merge field =course.custom_transcript_name, whereas course names are keeping the tag =course.name for themselves.

CORE Student Information System

Hide the † and * symbols from transcript templates

Staff can now decide whether or not to display the and * symbols in a transcript template, achieved in the Details tab of the transcript template. If neither Show reference for final grade (*) nor Show reference for credits (†) is ticked, the symbols won't be visible in printed and downloaded transcripts.

Publish partial grades

We've introduced a new publishing mode for grades allowing you to release partial grades as you go – such as, for instance, the results of an assignment –, without necessarily releasing the finals. You can read everything about the new publishing mode in our Help Centre!

Filtered list of courses displays no results

There was an issue with the academic calendar whereby, when the list of courses in the sidebar was filtered to narrow down the information and you quit the page and later reentered it, the same filters would still be in place, but with zero results. Both the filters and the results are currently preserved.

CORE Transcripts

Error when creating courses

Some staff users were receiving an unauthorised error message when attempting to create a course in the shared calendar, despite having the required permissions to do so. This has been fixed and it's once again possible to create courses directly in the calendar.

CORE Student Information System

Programme choice field in application forms not populated

The programme choice field was not registering the candidates' choice of programme when starting a new application, forcing candidates to manually select their desired intakes a second time; the same also happened with staff. The field is now automatically populated as per usual.

ORIGIN Automations

Profiles not exiting lifecycle workflows

Profiles weren't exiting lifecycle workflows when meeting the exit condition, meaning that they'd continue to receive emails no longer relevant. The exit condition profile is withdrawn, transitions to another state, or the journey is deleted is back working again.

Introducing the Shared Calendar

Make way for the new academic calendar, the Shared calendar, replacing its predecessor with smarter and better functionality! This new calendar takes a centralised approach to displaying courses and sessions, now combined into a single shared calendar instead of each programme having its own! The new calendar also comes with a bevy of filters and sorting options to help you customise your view and dig into data, as well as a variety of other nifty tricks that you can read about in our Help Centre! We'll support you through the process of transitioning to the new calendar and will contact you shortly for that purpose (if we haven't already)!

If you've never used our academic calendar, we recommend this other article instead.

FOUNDATION CRM Forms

Embed forms using scripts

You can now embed a Full Fabric form in an external web page by using a script instead of an iframe, thus allowing you to track user interaction with Google Tag Manager (such as completion time, abandonment rate and other metrics) and customise the design of your form on your own website. For more information, come here.

ORIGIN Applications

Order the content of programme choice fields chronologically

It's now possible to order the classes and courses in programme choice fields by their start date to make them easier to work with. As such, from now on, when applicants select a programme or a subject and then proceed to select a class or a course, respectively, they'll see them ordered from earliest to latest by default. Classes and courses without dates will be ordered alphabetically at the bottom.

FOUNDATION CRM Lead Management

Changes to the primary programme choice substitution tag

The subject code is no longer generated as part of the primary programme choice substitution tag, meaning that only the subject name and the course name are displayed to applicants in the application submission confirmation emails they receive.

Minor improvements
CORE Student Information System

Lecturer profiles deleted without being removed from sessions first

The system was erroneously authorising the deletion of lecturer profiles still assigned to sessions, which caused their associations to the sessions to stay behind and stir up trouble. Henceforth, this action will be automatically aborted by the system and trigger a forbidden response, commanding staff users to Remove the lecturer as the lecturer/guest lecturer of sessions before being able to delete its profile.

FOUNDATION CRM Automations

Unable to change sender name of automated workflows

Attempting to edit the SENDER NAME of the Send email to profile automation did not work, as the original name was not overwritten in the email messages. All email messages now include the custom SENDER NAME again.

FOUNDATION CRM Lead Management

Letter merge fields for journeys not working

Upon creating a letter template with merge fields for journey fields and then generating a document, the latter would not be populated. However, as of now, the substitution tags are replaced by information again.

FOUNDATION CRM Lead Management

Import menu freezes when clicking "Next"

The profile import tool sometimes froze when entering the mapping step, but the mapping section is loading normally again.

FOUNDATION CRM Applications Portal

Certain areas of the login page not scrollable

Some areas of the login page were not scrollable; consequently, a few buttons and fields were difficult to access. The login page is entirely scrollable now.

FOUNDATION CRM Lead Management

Inbox "All" tab not displaying information

The Inbox All tab was not displaying any items, saying You're all done instead, but it's now collecting information from the other tabs as expected.

FOUNDATION CRM Forms

Users can submit closed forms

Submissions were still accepted when a form was closed, but they're currently duly rejected.
